Your Conference Is Getting Lost in WhatsApp

Your attendees are not archaeologists. Stop making them dig for information.

“Everyone already uses WhatsApp.” Of course they do. For their partners, their families, their friends. You see a ready-made audience. They see another group to mute, archive and ignore.

Here are some reasons why your attendees are getting lost in WhatsApp.

1. They’re in the group. That doesn’t mean they’re listening.

How many have muted it?

An announcements group gives you somewhere to send live updates. It doesn’t mean attendees have read them—or will remember them when they need them.

The dinner moves in an announcement. The booking link arrives in another group. Someone posts a correction in the chat. Even an attentive attendee has to work out where to look and which update is current.

Attendees should be able to check what’s happening now without piecing together announcements and conversations across groups.

2. You’re keeping your customers away from your checkout

You put the workshop links in an announcement. Then the questions arrive in the group chat. “Is this suitable for beginners?” “Are there places left?” “Which workshop do you mean?”

The links are in one place. The questions and answers are somewhere else, mixed with conversations about every other event. The next person interested in that workshop starts asking again.

Your customers are discussing what you’re selling. Keep the conversation inside your shop.

This is where an event app makes the difference. With Conference Cowboy, discussions about each event happen with that event, in its own Q&A. The details and answers are where attendees expect to find them, and booking is always one click away.

3. A conversation is not a registration record

Every reply creates more work.

You create a WhatsApp group for a side event. People join, say “count me in” or announce they can’t make it. The group gradually becomes an unofficial registration list.

Except joining isn’t a booking. So you send a form and keep a separate list. Now you’re matching group members, form responses and chat replies to work out who’s actually coming.

You created a group to organize the event. Now you have to organize the group too.

Conference Cowboy brings bookings, payments and event discussions together in one intuitive platform. Attendees book the event; the guest list updates and their booking stays connected to their profile. Your team has a single source of truth for who’s coming, while questions stay in the event’s Q&A. No matching chat replies to a separate registration list.

“But people won’t install another app.”

You’re worried about asking attendees to install an app. But you’ll happily ask them to search three groups, find a buried booking link and work out whether yesterday’s announcement still applies. Apparently, that’s less trouble.

A few clicks are apparently more trouble than all of this.

You could save them one installation - at the cost of giving yourself, your team and your attendees a lot of extra work.

Conference Cowboy installs in a few clicks, straight from the browser. No app store required.

One platform for communication. One source of truth for registration.

Your team shouldn’t have to piece together its own conversations any more than attendees should. Bring chat, announcements and email together, and keep current event details in the live agenda. Messages tell people something has changed. The agenda tells them what’s happening now.

Your event needs one source of truth. With Conference Cowboy, attendees find the event, book it and check its current details in the same system. You see the resulting bookings and guest list. Update the agenda once; the change goes live across your website, attendee app and staff view.

One place for your team to communicate. One place for attendees to find the answer.
